YOUR PRIVACY IS NOT A REVENUE MODEL. FIELDMODE DOES NOT SELL, RENT, TRADE, OR MONETIZE YOUR PERSONAL DATA, DIAGNOSTIC DATA, EQUIPMENT DATA, OR ANY OTHER INFORMATION COLLECTED THROUGH THE SERVICE. WE NEVER HAVE AND NEVER WILL.
This Privacy Policy describes how Fieldmode LLC ("Company," "we," "us," "our") collects, uses, stores, protects, and shares information when you use the Fieldmode application, the website at fieldmode.app, and all related services (collectively, the "Service"). This Privacy Policy is incorporated into and subject to our Terms of Service.
By accessing or using the Service, you acknowledge that you have read, understood, and agree to be bound by this Privacy Policy. If you do not agree, do not access or use the Service.
1 Information We Collect
1.1 Information You Provide Directly
We collect information that you voluntarily provide when using the Service:
- Account information: Email address, name, and company name (if provided) when you create an account
- Job log data: Customer names, job notes, diagnostic paths, measurements, parts lists, and repair analyses that you create within the Service
- Equipment records: Information you manually enter into equipment profiles, including equipment type, refrigerant type, metering device, age, and amperage ratings
- AI chat messages: Text messages you submit to the AI Tech Assistant feature
- Feedback: Any feedback, bug reports, or feature requests you submit through the Service
1.2 Information Collected Automatically
When you use the Service, certain information is collected automatically:
- Device location (GPS): Used solely to retrieve local weather data for weather-adjusted diagnostic targets (superheat, subcooling, temperature split). Location is processed in real time and is not stored on our servers
- Weather data: Outdoor temperature, humidity, and conditions retrieved from the National Weather Service API based on your approximate location. This data is cached locally on your device only
- Usage analytics: Anonymous, aggregated data about feature usage, including which diagnostic categories are accessed, tab switches, and app open events. Analytics data does not contain personally identifiable information
- Device information: Browser type, operating system, screen size, and device capabilities (such as Bluetooth support and camera availability) necessary for the Service to function
1.3 Information Collected Through AI Features
- Nameplate scanner: When you photograph an equipment nameplate, the image is transmitted to Anthropic's API for processing. We extract structured equipment data (manufacturer, model, serial number, refrigerant type, electrical ratings) and return it to your device. We do not store the photographs on our servers. Anthropic's data retention policies apply to images processed through their API
- AI Vision: Photographs submitted for diagnostic analysis are transmitted to Anthropic's API. We do not store these images on our servers
- AI Chat: Conversation messages are transmitted to Anthropic's API for processing. Chat history is stored locally on your device for session continuity and is not stored on our servers
1.4 Information We Do NOT Collect
We want to be explicit about what we do not collect:
- We do not collect or store GPS coordinates on our servers
- We do not collect contacts, call logs, text messages, or any data from other apps on your device
- We do not collect payment card numbers directly (payment processing is handled entirely by Stripe)
- We do not use cookies for advertising, tracking, or cross-site profiling
- We do not collect biometric data
- We do not access your device's microphone except when you explicitly activate the Co-Pilot voice feature, and audio is processed in real time without server-side storage
2 How We Use Your Information
We use collected information solely for the following purposes:

WE DO NOT USE YOUR DATA FOR ADVERTISING, PROFILING, BEHAVIORAL TARGETING, OR ANY PURPOSE OTHER THAN PROVIDING AND IMPROVING THE SERVICE.
3 Data Storage and Security
3.1 Where Data Is Stored
- On your device (local storage): Equipment profiles, job session data, AI chat history, cached weather data, and usage analytics are stored locally on your device. This data is accessible only to the Fieldmode application
- On our servers: Account information (email, name, company) and job history records (for cross-device sync) are stored on secure, encrypted servers located in the United States
- Third-party processors: Data transmitted to Anthropic (AI features) and Stripe (payments) is subject to their respective privacy policies and data handling practices
3.2 Security Measures
We implement commercially reasonable administrative, technical, and physical safeguards to protect your information, including:
- Encryption of data in transit (TLS/SSL) for all communications between the Service and our servers
- Encryption of data at rest for stored account and job history data
- Access controls limiting employee access to user data on a need-to-know basis
- Regular security assessments of our infrastructure and code
While we take reasonable steps to protect your information, no method of transmission over the internet or electronic storage is completely secure. We cannot guarantee absolute security.
3.3 Data Retention
- Account data: Retained for as long as your account is active. Upon account deletion, your data will be permanently deleted within 30 days
- Job history: Retained for as long as your account is active. You may delete individual job records at any time
- Usage analytics: Anonymous, aggregated analytics data may be retained indefinitely as it cannot be associated with any individual user
- AI-processed images: Not retained by Fieldmode LLC. Anthropic's retention policies apply to data processed through their API
- Local device data: Remains on your device until you clear the application data or uninstall the Service
4 Third-Party Service Providers
We share information with the following third-party service providers solely to operate the Service. We do not sell or share your data with third parties for their own marketing or commercial purposes.

5 Data Sharing and Disclosure
WE DO NOT SELL YOUR PERSONAL INFORMATION. WE HAVE NOT SOLD PERSONAL INFORMATION IN THE PRECEDING 12 MONTHS. WE DO NOT SHARE PERSONAL INFORMATION FOR CROSS-CONTEXT BEHAVIORAL ADVERTISING.
We may disclose your information only in the following limited circumstances:
- With your consent: When you explicitly authorize us to share specific information
- Service providers: To the third-party providers listed in Section 4, solely to operate the Service
- Legal requirements: When required by applicable law, regulation, legal process, or enforceable governmental request
- Protection of rights: To enforce our Terms of Service, protect the rights, property, or safety of Fieldmode LLC, our users, or the public, or to detect, prevent, or address fraud, security, or technical issues
- Business transfer: In connection with a merger, acquisition, reorganization, sale of assets, or bankruptcy. In such event, your information would remain subject to the protections of this Privacy Policy, and you will be notified of any change in ownership or control of your personal information
We will never disclose your data to:
- Advertisers or ad networks
- Data brokers
- Social media platforms
- Marketing agencies
- Any party seeking to use it for purposes unrelated to providing the Service to you
6 Your Rights and Choices
6.1 All Users
Regardless of your location, you have the right to:
- Access your data: Request a copy of the personal information we hold about you
- Correct your data: Update or correct inaccurate account information through your account settings
- Delete your data: Request permanent deletion of your account and all associated data
- Export your data: Download your job history and equipment records in a portable format
- Withdraw consent: Revoke any previously granted consent, including location access, at any time through your device settings
- Opt out of analytics: Disable anonymous usage analytics through the Settings panel within the Service
6.2 California Residents (CCPA/CPRA)
If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA) and the California Privacy Rights Act (CPRA):
- Right to know: You may request that we disclose what personal information we collect, use, share, and sell
- Right to delete: You may request deletion of your personal information, subject to certain exceptions
- Right to correct: You may request correction of inaccurate personal information
- Right to opt out of sale/sharing: We do not sell or share personal information as defined under CCPA/CPRA. There is no sale or sharing to opt out of
- Right to limit use of sensitive personal information: We do not use sensitive personal information for purposes beyond what is necessary to provide the Service
- Right to non-discrimination: We will not discriminate against you for exercising any of your CCPA/CPRA rights

6.3 European Economic Area, United Kingdom, and Swiss Residents (GDPR/UK GDPR)
If you are located in the EEA, UK, or Switzerland, you have rights under the General Data Protection Regulation (GDPR) and UK GDPR, including:
- Legal basis for processing: We process your data based on contractual necessity (to provide the Service), legitimate interest (to improve the Service), and consent (for optional features like location access)
- Right of access, rectification, erasure, restriction, portability, and objection as provided under applicable law
- Right to lodge a complaint with your local data protection authority
- International transfers: Data may be transferred to the United States. We rely on standard contractual clauses and other appropriate safeguards for such transfers
6.4 New York Residents
In addition to the rights described above, if applicable New York privacy legislation is enacted and takes effect, we will comply with any additional rights granted to New York residents under such legislation.
7 Children's Privacy
The Service is not intended for individuals under the age of 18. We do not knowingly collect personal information from children under 18. If we learn that we have collected personal information from a child under 18, we will promptly delete such information. 8 Cookies and Tracking Technologies
The Service uses minimal cookies and local storage solely for functional purposes:
- Session management: To maintain your login state and preferences
- Offline functionality: Service worker caching to enable offline diagnostic access
- Local data storage: Equipment profiles, job sessions, and AI chat history stored on your device
We do not use:
- Third-party advertising cookies
- Cross-site tracking cookies
- Social media tracking pixels
- Fingerprinting or any other persistent tracking technology
9 Bluetooth and Sensor Data
The Service includes optional Bluetooth connectivity for smart HVAC probes (such as Fieldpiece JobLink). When you use this feature:
- Bluetooth data (temperature, pressure, and other sensor readings) is processed locally on your device in real time
- Sensor readings are not transmitted to our servers or any third party
- Bluetooth pairing information is stored locally on your device only
- You may disconnect Bluetooth devices at any time through the Service or your device settings
10 Offline Mode and Local Data
Fieldmode is designed to function offline. When operating without an internet connection:
- All diagnostic trees, calculators, P/T charts, error code databases, parts references, and job history are available from data cached on your device
- No data is transmitted to any server while offline
- Data created while offline (job logs, notes, measurements) is stored locally and synced to your account only when you reconnect to the internet (if you have an account)
11 Data Breach Notification
In the event of a data breach affecting your personal information, we will:
- Notify affected users via email within 72 hours of becoming aware of the breach
- Provide a description of the nature of the breach, the categories of data affected, and the approximate number of users affected
- Describe the measures taken or proposed to address the breach and mitigate its effects
- Notify applicable regulatory authorities as required by law
12 Do Not Track Signals
The Service does not track users across third-party websites or services and therefore does not respond to Do Not Track (DNT) signals. As stated in Section 8, we do not engage in cross-site tracking of any kind.
13 Changes to This Privacy Policy
We may update this Privacy Policy from time to time. When we make material changes, we will:
- Update the "Last Updated" date at the top of this page
- Notify you via email (if you have an account) or through a prominent notice within the Service at least 30 days before the changes take effect
- Provide a summary of material changes
Your continued use of the Service after the effective date of any revised Privacy Policy constitutes your acceptance of the changes. If you do not agree to the revised policy, you must stop using the Service and delete your account.
14 Governing Law
This Privacy Policy shall be governed by and construed in accordance with the laws of the State of New York, without regard to its conflict of laws principles, consistent with Section 13 of our Terms of Service.
